Back-Office Automation & Integration
Back-office automation that connects the systems you already use
Your ERP, CRM and accounting tools share data on their own, so nobody re-keys a record or chases an approval by email.
Approval gates on money and records · a log of every change
Two ways to start
You know the process
Free30-minute call, then straight to a pilot
Tell us which systems should share data. We scope one integration with you and send a written pilot quote.
Still deciding? Call anyway, and we will tell you honestly if the diagnostic fits better.
Not sure what to connect
$157Diagnostic, answered in 10 working days
A paid, written answer: which system and process to start with, what the integration would save, and what access it needs. Then you decide on a pilot, or stop.
Then every project follows the same road
In plain words
What is back-office automation?
Back-office automation means the routine work between your systems, such as entering invoices, updating records and routing approvals, is done by software and AI agents that connect your ERP, CRM and accounting tools, with people approving the exceptions. AI Automation Agency BD, an AI, data and IT services company based in Bangladesh, builds these connections inside the systems you already use, so nothing is replaced.
One supplier invoice, two ways
Today
- Typed into the accounting tool
- Typed again into the ERP
- Approval chased by email
- Checked by hand at month-end
Connected
- Read once and matched to the order
- Shared with every system
- Mismatches sent to an approver
- Every change already logged
An example. Your own systems and steps are mapped before the build.
Use cases
Which back-office processes can we automate, and who does what?
Most of the work sits on the line between two systems. Each pair shows what moves on its own and what stays with a person.
Order entry
Won deals become sales orders, with no re-keying.
Person: approves orders over the credit limit
Invoicing
Invoices are raised when orders ship.
Person: reviews disputed invoices
Invoice matching
Supplier invoices are matched to orders and receipts.
Person: approves mismatches
Bank reconciliation
Bank lines are matched to the ledger every day.
Person: decides on unmatched lines
Joiners and leavers
Standard accounts are created and removed from the HR record.
Person: approves extra access
Supplier records
Supplier details stay the same in every system.
Person: approves bank detail changes
Also connected the same way: expense claims, purchase requests, stock updates, licence tracking, internal requests and customer records.
Examples of how work is usually split. Your rules and limits are set before the build. Want a whole process run for you? See BPO Automation Services. Data needs cleaning first? See Data Quality & Cleansing.
How it works
How does an integrated back-office workflow run?
In four steps: a record arrives, an AI agent checks it and moves it between your systems, a person approves the exceptions, and every change is logged. Pick a workflow to see it run.
Purchase-to-pay
Matches each invoice to its purchase order and receipt, posts clean ones and sends mismatches to an approver.
Illustrative models. Your systems, rules and limits are mapped before the build.

Open any change
The log shows what moved, between which systems, when and on which record.
Test it
Prove it on your records
The pilot runs on one system with your real records, against a measure you agree first.
Own it
Keep it in your systems
Integrations run in your accounts through supported APIs, and the runbook goes to your team.
Compare
Connect your systems, buy another tool, or keep re-keying?
Three ways to handle the same work. Connecting keeps the systems you have and ends the double entry.
| Compared on | Keep re-keying | Buy another tool | Connect your systemsThis service |
|---|---|---|---|
| Data entry | By hand, in every system | In the new tool, and still in the old ones | Once, then shared |
| Approvals | By email and chat | Inside the tool, where it has them | In one queue, with the record attached |
| Record of changes | Spread across inboxes | Inside that one tool | Every change, across every system |
| Your current systems | Kept, but out of step | Some replaced or duplicated | Kept, and connected |
| How you pay | Staff time, every month | A new subscription | From $945 per system, then an optional monthly fee from $788 |
A good fit if
- Two or more systems hold the same data today
- Your systems have APIs or exports we can be given access to
- You want approvals and a record, not a black box
Not the right fit if
- You want to replace your ERP or CRM: we connect systems, we don't replace them
- The process changes every week with no fixed rules
Process and price
How much does back-office automation cost, and how long does it take?
Start free with a 30-minute call, or with a $157 diagnostic. Business process packages start from $1,575, and each later stage is quoted in writing, because the price depends on how many systems you connect and how your data is held.

What moves your price
Starting from
$1,575
for a business process package. Many systems or large data volumes are quoted higher.
How many systems you connect
Each system adds its own build and testing work.
How clean your data is
Duplicated or inconsistent records need fixing before they can flow.
How many cases need a person
More exceptions mean a bigger approval queue to design and test.

- Working integrationsBuilt on each system's supported API, tested on your real records
- Approval and exception queueWhere your people approve changes and settle what the rules can't
- Runbook and handoverHow each connection runs and how to fix common failures

What are back-office automation services?
A team sets up software and AI agents that do the routine work between your systems, such as entering invoices, matching records and routing approvals, with people approving the exceptions.
How much does back-office automation cost?
The first 30-minute call is free, and a diagnostic is $157, fixed. The pilot is $525, fixed, for one system. Production starts from $945 per system, and managed operations from $788 a month. Each stage is confirmed in writing before it starts, because the price depends on how many systems you connect and how your data is held. Business process packages start from $1,575.
Do we have to replace our current systems?
No. We connect the ERP, CRM, accounting and HR tools you already use through their supported APIs. Nothing is replaced.
How long does an ERP integration take?
A pilot on one system takes 15–20 working days. Starting with the diagnostic adds 10 working days. Production is quoted after the pilot, once we know how many systems and records are involved.
Can back-office automation handle processes that need human judgement?
Yes, by design. The rules handle routine cases, and anything unusual or above your limits goes to a person in an approval queue, with the full record attached.
Automation service or another software licence: which do you need?
If your tools already do the job but don't talk to each other, you need integration work, not another licence. The diagnostic tells you which.
